The Program Associate assists with administrative and programmatic tasks for projects managed under the Large Project Management Unit of WWF’s Markets and Food programme, including CMI 2.0 Codex Planetarius, Tapestry and Markets Institute projects. The role supports programme goals through research and analysis, organising information and materials, drafting reports, proposals and presentations, and assisting with project management and policy development and analysis. It also coordinates major programme activities, communicates with staff on ongoing work, and administers and monitors budgets, contracts and other assigned projects.
Day to day, the postholder creates and maintains detailed project schedules for monitoring tasks and activities, modifies them as directed and prepares project status reports, gathering and analysing information from a range of sources and staying current on issues in the programme’s areas of focus. The role may assist in developing databases to track conservation-related information. It supports and monitors the preparation of agreements for sub-grantees and consultants, ensures agreements and payments are processed in line with WWF policy, prepares paperwork and secures signatures, follows up on contract deliverables, and keeps the project tracking database accurate.
Writing forms a significant part of the work, covering case studies, policy briefs, research summaries, informational documents, presentation materials, reports and briefings, along with proposals and consulting agreements for final approval. The role assists with donor communications and fundraising and develops programme-specific publications. Financial administration includes processing invoices and expense reports, managing account coding, facilitating reclassifications, supporting budget preparation and variance analysis, and acting as primary liaison with accounting. The postholder also maintains logs and records, validates and inputs data, prepares reports with tables, charts and statistics for internal staff as well as members, donors and government staff, and handles meeting logistics including conference bridges, online meetings and follow-up notes.
WWF asks for a bachelor’s degree or equivalent experience plus two years of professional experience, or a minimum of four years of relevant experience, preferably with an environmental or conservation science education. The role calls for a detail-oriented and methodical approach, the ability to manage multiple projects and priorities, and strong communication, organisational and analytical skills for proofing and editing documents. Strong command of Microsoft Office and online tools such as SharePoint, Box and Airtable is required, as is proficiency in Spanish and English with solid written and verbal skills in both. Portuguese is desired.
