The Executive Assistant provides proactive, high-touch administrative and operational support to the CEO and CPO, managing their time, priorities, and communications with care and precision, ensuring leaders are prepared, priorities move forward, and day-to-day operations run smoothly. This is a hybrid role with occasional in-person work at the San Francisco office, and candidates within a reasonable commuting distance (approximately one hour) are preferred.
Key responsibilities include executive support (providing high-level administrative support to two senior leaders, owning calendar strategy and priority alignment, managing inboxes by triaging communications and drafting responses, anticipating leaders’ needs, serving as a key point of contact for internal and external stakeholders, and coordinating travel arrangements), project management (identifying opportunities to improve processes, tracking priorities and commitments, scheduling team meetings and developing agendas, monitoring key deadlines, and supporting cross-functional coordination), and meeting and event planning (ensuring leaders are prepared by coordinating logistics and organising briefing materials, preparing polished presentations and reports, and tracking meeting follow-up).
Skills and experience sought include five or more years of experience providing administrative support to senior-level staff, strong interpersonal and communication skills across different cultures, the aptitude to work independently and collaboratively with flexibility for shifting priorities, strong judgment in prioritising competing demands, experience calendaring in multiple time zones, mastery of Google Suite and Microsoft Office tools, experience using AI, strong project management skills, a strong commitment to confidentiality, and the ability to lift and carry materials weighing up to 25 lbs.
