1 MISSION OF THE DEPARTMENT

  • To drive the WWF network towards a common culture through common core values, common approach to talent management, leadership development, JEDI (Justice Equity Diversity Inclusion) principles and KPIs.
  • To embed the WWF core values and JEDI principles in all key People & Culture (P&C) processes across the organization.
  • To advise and support leaders/managers in creating a culture of collaboration, innovation and results focus in their teams.
  • To develop the right P&C standards, policies, procedures and platforms in-order to attract, develop and retain the right people for the organization.
  • To create the optimal working and well-being environment in which the staff can perform at the highest level and hence are able to maximize their contribution towards the conservation goals.
  • To provide efficient and effective P&C services to WWF International Secretariat and its Country Offices.

2 MAJOR FUNCTIONS

  • Super user of the Human Resources Information Systems (HRIS) taking the lead for all HRIS related activities for all Country Offices as well as successful transfer of knowledge from the HRIS implementation team to the P&C team.
  • Troubleshoot any HRIS system configuration challenges, by investigating problems and resolutions in partnership with Implementation Managers, Product teams and other critical internal stakeholders across WWF. Where necessary, working with the supplier to identify solutions or system defects.
  • Actively contribute to the success of the HRIS implementation through participation in testing and roll out of new HRIS modules and functionalities, interfacing with the IT Departments, local P&C teams and other departments as necessary.
  • Support with the preparation and maintenance of the system documentation, standard operating procedures and user guides for the HRIS modules.
  • Proactively implement P&C automations into our day-to-day operations, by identifying business process improvement opportunities, by designing workflows, updating & adjusting templates, and key self-service features of Canopy.
  • Participate, support or lead in other future P&C system related projects when needed.

3 Major Duties and Responsibilities

HRIS Maintenance / Product Lifecycle Development /User support and training

  • Support P&C teams across country offices in troubleshooting, replicating and resolving technical queries whilst maintaining configuration details for the different HRIS modules.
  • Build relationships with product teams and super users, whilst acting as the critical operational link between the P&C focal points in Country Offices and the HRIS system.
  • Lead the maintenance of our system’s data accuracy by running data audits in collaboration with Product owners, Employee services/Payroll team, Business Partners (BPs), Compensation & Benefit (C&B) teams and internal relevant stakeholders as necessary.
  • Lead the training of new P&C users to ensure consistency in operational business processes and the delivery of insightful custom reports and dashboards.
  • Participate and lead special projects to improve efficiency within the department by utilizing the HRIS system. Recommend process improvements, innovative solutions, and procedure changes to management.
  • Lead the development of standard operating procedures and user guides for the HRIS modules and coordinate the documentation of system configuration and application enhancements.
  • Coordinate all HRIS new system updates by reviewing and understanding the release notes, educating end users on new functionality, making recommendations on functionality to deploy, conducting new functionality and regression testing.

Implementation Management

  • Support the HRIS roll out, including design, business process configuration, data migration, interfacing, risk identification and training.
  • Responsible for effective project communication, risk and issue resolution as well as for quality of project deliverables.
  • Ensure effective change readiness, change management, and product lifecycle management are properly anticipated and conducted for the HRIS system.

HR Business Analysis

  • Maintain, and support a variety of complex reports and queries utilizing appropriate reporting tools. Develop standard and ad hoc reports to meet ongoing needs.
  • Maintain data integrity in systems and its interfaces by running queries and analysing data.
  • Act as custodian of sensitive team member information, validate data from various sources and/or complete structured statistical and predictive analysis to prepare all reports that support resulting conclusions/recommendations.
  • Participate in P&C goals, objectives, and projects to ensure an effective, sustainable, people strategy over the long-term.

4 PROFILE

Required Qualifications:

  • Bachelor’s degree with a focus on a technological degree, Data or HR related studies.
  • Considerable experience in HR system consultancy in International multicultural organisations involving projects with cloud-based HR platforms.
  • Previous experience with HRIS or HR Project implementations including planning, designing, testing and deploying new HRIS configuration, adjustments, security and overall system maintenance.
  • Experience supporting global HR processes and connecting with key internal stakeholders both technical and non-technical.
  • You are familiar with HR matters in general, including organisational design, lifecycle milestones (onboarding, offboarding, promotions, etc.) and can help translate those into technical requirements.
  • Competent user of spreadsheets to the extent of creating pivot tables and manipulating data.

Required Skills and Competencies:

  • Experience in the design, development, and implementation of one or more HR SaaS products.
  • Strong customer-oriented and constantly looking for new ways to improve processes and procedures whilst driving internal stakeholders to an outstanding experience.
  • Logical and process-oriented mind-set to be able to think through workflows, approvals and how business processes should work.
  • Requires relevant experience in HR Reporting & Data Analytics as well as a strong understanding of business analytics concepts including data analysis, data mining, statistical and predictive analysis.
  • Strong ability to understand business requirements, methodical and well organised, with a proven ability to work collectively with the team and achieve outcomes together.
  • Excellent written and oral communication skills. Must be comfortable with public speaking, facilitating group discussions and delivering training to users of all levels of ability.
  • Ability to work independently, as well as contribute significantly, in coordination, with a team.
  • Strong problem solving and interpersonal skills and an outgoing, positive attitude.
  • Attention to detail and solution-oriented with strong organisational skills.
  • Ability to work across geographic time zones and with multicultural teams.
  • High proficiency in Microsoft Office 365, especially Excel, Word and PowerPoint, with strong knowledge of MS SharePoint and Teams.
  • Understanding of data protection legislation and the importance of information confidentiality.
  • Interest in conservation and WWF’s work.

5 WORKING RELATIONSHIPS

Internal:

Interacts frequently with Country Office People & Culture and ICT Focal points, Regional P&C Heads, HRIS Manager, Secretariat P&C CoE Heads, in WWF International.

External:

Software Suppliers.
