PARTNERSHIP & EVENTS ADMIN INTERN
ROLE OVERVIEW
Oceanic Global is seeking an entry-level intern to provide administrative support for our partnerships and events programs. This role is designed for younger candidates or those with less experience, offering a hands-on learning opportunity within our global nonprofit. You will work closely with our partnerships and events teams on a variety of tasks related to event coordination and program administration, gaining valuable exposure to nonprofit operations, environmental conservation, and project management.
The ideal candidate is eager to learn, highly organized, and passionate about protecting our planet. This position is flexible, part-time, and perfect for individuals looking to gain experience in environmental advocacy, partnerships, and event planning. The candidate must be available for set part-time hours (to be negotiated) 2-3 days per week.
KEY RESPONSIBILITIES
- Administrative Support:
- Provide general administrative assistance to the partnerships, events, and Hubs teams, including organizing documents, managing email communications, and inputting data.
- Maintain databases and CRM systems, tracking project progress, and managing shared files, including invoices, and expenses.
- Conduct outreach to partner prospects using provided templates.
- Ensure tasks, documents, and event materials are up to date across all program areas.
- Assist with data collection, KPI tracking, and updating reporting sheets.
- Supply inventory management and shipping to support global activities.
- Marketing & Communications:
- Assist with updating marketing materials, including event Eventbrite or website pages and promotional assets.
- Add event listings to public facing event calendars
- Event Coordination Assistance:
- Research and prospect potential venues, speakers, and vendors for events.
- Assist with guest list management, event registrations, and preparing event materials.
- Help coordinate logistical details for events, such as venue support and vendor coordination and ensure event calendars are up to date.
- Track event KPIs, update reporting sheets, and assist with event follow-ups and feedback surveys.
- Partnership Support:
- Conduct research to identify potential partners, including NGOs, sponsors, and community organizations.
- Analyze partnership prospects to ensure alignment with organizational goals and values.
- Help collect and organize data on the impact of partnerships, contributing to success stories and reports.
- Assist with partnership engagement, including follow-up communications and meeting coordination.
- Volunteer Hubs Program Support:
- Review Hub member applications, update member information and maintain tracking sheets.
- Support outreach and communication for member recruitment and engagement.
- Contribute to Hub engagement strategies, including data collection and reporting.
- Help organize program documents to ensure alignment with the overall Hub strategy.
SKILLS & EXPERIENCE
- Currently pursuing or interested in a career in Marketing, Events, Environmental Science, Communications, or a related field.
- Strong organizational skills and an eagerness to learn.
- Basic familiarity with Google Suite (Docs, Sheets, Calendar).
- Ability to work independently and as part of a team in a remote environment.
- Excellent communication and time management skills.
PREFERENCES
- Based in EST or GMT+1 time zones, with a preference for European or NYC-based candidates.
